The Cold Email Deliverability Checklist: 12 Things to Verify Before You Scale Volume
Most deliverability collapses we get called in to fix weren't random. They followed a volume increase that skipped one or more of the checks below. This is the same list we run through in a client audit, in the order we'd check it.
Domain and DNS
- SPF record exists, is valid, and stays under the 10 DNS lookup limit
- DKIM is configured and signing outbound mail (not just present in DNS)
- DMARC policy is at least p=none for visibility, ideally progressing toward p=quarantine
- Sending domain is separate from your primary corporate domain
- Domain has DNS records for MX/A even if it's cold-outreach-only - a domain that can't receive mail looks suspicious to filters
Warm-up and sending pattern
- New domains and mailboxes are warmed up gradually, not sending full volume on day one
- Sending volume grows in a predictable curve, not sudden jumps
- Sending happens during realistic hours for the recipient's timezone, not in one 2am batch
- Delays between sends are randomized, not fired in an identical interval every time
List and content
- List is verified within the last 30 days - bounce rate under 2%
- Copy avoids heavy spam-trigger patterns (all caps, excessive links, urgency language) without being so sanitized it reads like spam anyway
- Every email has a working, easy unsubscribe or opt-out path

If you can only fix three things before scaling: verify your list, warm up new domains, and separate cold outreach from your main domain. Those three prevent most of the collapses we see.
None of these require exotic tooling - most are a few hours of setup work. The teams that skip them tend to be the ones capped at 200 emails/day, afraid to push volume because the last time they tried, reputation cratered. The teams that check all twelve tend to be the ones who can scale confidently, because they know exactly what's holding volume steady.
Not sure if your setup would hold up under more volume?
